Managing Licences

Learn how to manage your active licences, update billing information, and make changes to your subscriptions.

Accessing Your Licences

Navigate to: Dashboard > Payments

Viewing Your Licences

On the Payments page, you can see three key metrics:

Total Licenses

The total number of licences you own, including both active and inactive subscriptions.

Active Licenses

Currently active licences that are being billed. These licences are available for assignment to venues.

Assigned

The number of licences currently assigned to specific venues. This shows how many of your licences are in use.

If you have more venues than active licences, you'll see a warning prompting you to purchase additional licences.

Managing Billing

Access the Billing Portal

  1. Go to the Payments page
  2. Click the "Manage Billing" button
  3. You'll be redirected to Stripe's secure billing portal

What You Can Do in the Billing Portal

Update Payment Method:

  • Add or remove credit/debit cards
  • Update card details
  • Change billing address

View Invoices:

  • Download past invoices
  • View payment history
  • Check upcoming charges

Manage Subscriptions:

  • View active subscriptions
  • Cancel subscriptions
  • Update subscription quantity

Update Billing Information:

  • Change billing email
  • Update tax information
  • Modify billing address

Purchasing Additional Licences

If you need more licences:

  1. Go to the Payments page
  2. Enter the number of additional licences needed
  3. Click "Purchase Licences"
  4. Complete the checkout process
  5. New licences activate immediately
Each licence has its own billing cycle based on when it was purchased. New licences will have their own billing date.

Cancelling Licences

To Cancel a Subscription:

  1. Click "Manage Billing" on the Payments page
  2. Select the subscription you want to cancel
  3. Click the cancel option
  4. Follow the confirmation steps

What Happens When You Cancel:

  • Your licence remains active until the end of your current billing period
  • After the billing period ends, the associated venue will be deactivated
  • You can reactivate by purchasing a new licence
  • No refunds for partial months (cancel before your billing anniversary to avoid the next charge)
Ensure you have enough active licences for all your venues. Insufficient licences may result in venue deactivation.

Troubleshooting

Insufficient Licences Warning

If you see a warning about having more venues than licences:

  1. Count how many venues you want to keep active
  2. Calculate how many additional licences you need
  3. Purchase the required licences immediately
  4. Your venues will remain active

Payment Failed

If you receive a payment failure notification:

  1. Go to the billing portal
  2. Check your payment method is valid
  3. Update or add a new payment method
  4. Retry the payment
  5. Contact support if issues persist

Licence Not Appearing

If a purchased licence doesn't appear:

  1. Refresh the Payments page
  2. Check your email for purchase confirmation
  3. Wait a few minutes for processing
  4. Contact support if still not visible after 10 minutes

Permissions

Owner Access

Only venue owners can:

  • Purchase new licences
  • Cancel subscriptions
  • Update payment methods
  • Access the billing portal

Staff Access

Staff members with appropriate permissions can:

  • View licence information (read-only)
  • See how many licences are active
  • View assigned licences

They cannot make purchases or billing changes.

Best Practices

Keep Payment Details Current

  • Update your card before it expires
  • Ensure sufficient funds for automatic billing
  • Set reminders for card expiry dates

Monitor Your Licences

  • Regularly check your active licences
  • Ensure you have enough for your venues
  • Cancel unused licences to save costs

Plan for Growth

  • Purchase licences before launching new venues
  • Consider your expansion plans
  • Take advantage of the trial period for new venues
