Shift Templates allow you to create reusable scheduling patterns. Build templates for common shift configurations, service periods, and staffing patterns to dramatically speed up schedule creation.

Service Period Templates

Pre-configure standard service times:

Breakfast Service

  • 6:00 AM - 11:00 AM
  • Kitchen staff: 5:30 AM start
  • Front-of-house: 6:00 AM start
  • Typical staffing levels

Lunch Service

  • 11:00 AM - 3:00 PM
  • Pre-service: 10:30 AM
  • Cleanup: 3:30 PM
  • Role requirements

Dinner Service

  • 5:00 PM - 10:00 PM
  • Setup: 4:00 PM
  • Late service: until 11:00 PM

New Template Creation

Build a template:

  1. Click Create Template
  2. Name your template
  3. Choose template type
  4. Configure shifts
  5. Set staffing levels
  6. Add notes
  7. Save template

Using Templates

Applying Templates

Use templates in schedules:

From Rota View

  1. Select date range
  2. Click Apply Template
  3. Choose template
  4. Preview application
  5. Adjust if needed
  6. Confirm application

From Timeline

  1. Navigate to desired date
  2. Right-click or menu
  3. Select Apply Template
  4. Choose from list
  5. Template applied

From Manage Rotas

  1. Open rota
  2. Select Use Template
  3. Pick template
  4. Configure dates
  5. Apply to schedule

Bulk Application

Apply to multiple weeks:

  1. Select template
  2. Choose date range
  3. Select repeat pattern:
    • Every week
    • Alternating weeks
    • Specific weeks
    • Monthly pattern
  4. Preview all applications
  5. Apply to all dates

Customizing After Application

Modify template instances:

  • Change individual shifts
  • Adjust times
  • Swap staff
  • Add extra cover
  • Remove unnecessary shifts

Changes don't affect original template.

Managing Templates

Editing Templates

Modify existing templates:

  1. Find template
  2. Click Edit
  3. Make changes
  4. Update name/description
  5. Save changes

Important: Editing a template doesn't change past uses, only future applications.

Copying Templates

Duplicate and modify:

  1. Select template
  2. Click Copy or Duplicate
  3. New template created
  4. Rename appropriately
  5. Modify as needed
  6. Save new template

Deleting Templates

Remove unused templates:

  1. Select template
  2. Click Delete
  3. Confirm deletion
  4. Template removed from library

Note: Cannot delete templates currently in use. Archive instead.

Archiving Templates

Keep historical records:

  • Set status to Archived
  • Hidden from active list
  • Not available for use
  • Searchable if needed
  • Maintains historical data
