Configure your table setup, capacity, and seating arrangements.

Overview

Properly configured tables are essential for managing reservations effectively. Set up your tables to match your actual venue layout and capacity.

Accessing Table Management

Navigate to All Venues > Select your venue > Tables

Table Configuration

Adding Tables

To add a new table:

  1. Click Add Table
  2. Enter table number/name
  3. Set capacity (min and max guests)
  4. Choose table shape
  5. Assign to booking area
  6. Set availability
  7. Click Save

Table Information

For each table, configure:

Basic Details

  • Table Number - Unique identifier (e.g., "T1", "Table 10", "Window 3")
  • Table Name - Descriptive name (optional)
  • Minimum Capacity - Smallest party size
  • Maximum Capacity - Largest party size
  • Optimal Capacity - Preferred number of guests

Physical Attributes

  • Shape - Round, square, rectangular, oval
  • Seating Type - Standard chairs, booth, bar seating
  • Location - Indoor, outdoor, bar, private room
  • Feature - Window seat, terrace, corner, by fireplace

Accessibility

  • Wheelchair accessible
  • Easy access
  • Step-free
  • Adjustable height

Special Features

  • Power outlets
  • USB charging
  • Privacy screens
  • Heating/cooling
  • Umbrella/shade
  • View

Restrictions

  • Adults only
  • No children
  • Reserved for VIP
  • Private events only

Table Status

Available

  • Table can be booked
  • Appears in online availability
  • Can be assigned to reservations

Unavailable

  • Table temporarily out of service
  • Not shown in availability
  • Cannot be booked

Maintenance

  • Table under repair
  • Scheduled return date
  • Automatically returns to available

Reserved

  • Held for specific use
  • Walk-ins only
  • VIP reservations
  • Special occasions

Joining Tables

Combine Tables

Create larger capacity by joining tables:

  1. Select tables to combine
  2. Click Join Tables
  3. Set combined capacity
  4. Name the combination (e.g., "T1+T2")
  5. Set availability for combination

Example:

  • Table 1 (seats 4) + Table 2 (seats 4) = Combined table (seats 8)

Split Tables

Separate previously joined tables:

  1. Select combined table
  2. Click Split Tables
  3. Original tables return to individual status
  4. Capacity reverts to individual settings

Booking Areas

Assign Tables to Areas

Organize tables by location:

Indoor Areas

  • Main dining room
  • Bar area
  • Private dining room
  • Lounge

Outdoor Areas

  • Terrace
  • Garden
  • Patio
  • Rooftop

Special Areas

  • VIP section
  • Quiet zone
  • Family area
  • Counter seating

Area Settings

For each area, configure:

  • Operating hours (may differ from main venue)
  • Capacity limits
  • Weather-dependent availability
  • Special requirements

Table Availability

Standard Availability

Set when tables are available:

  • Days of Week - Which days table is available
  • Time Slots - Specific time ranges
  • Meal Services - Breakfast, lunch, dinner
  • Seasonal - Summer/winter availability

Custom Availability

Create special availability rules:

  • Date-Specific - Available/unavailable on certain dates
  • Event Blocking - Hold for private events
  • Service Types - Different availability for walk-ins vs bookings
  • Time-Based - Available only during certain hours

Table Assignments

Automatic Assignment

Let the system assign tables:

  • Algorithm - Optimizes table usage
  • Preferences - Considers special requests
  • Capacity - Matches party size appropriately
  • Efficiency - Maximizes venue capacity

Manual Assignment

Manually assign tables to reservations:

  1. View reservations
  2. Select reservation
  3. Choose table from available options
  4. Confirm assignment

Preferred Tables

Set preferences for certain bookings:

  • VIP customers
  • Large parties
  • Special occasions
  • Accessibility needs
  • Window/view tables

Table Management

Bulk Operations

Manage multiple tables at once:

  • Bulk Edit - Update multiple tables simultaneously
  • Copy Settings - Duplicate configuration to other tables
  • Mass Availability - Set availability for table groups
  • Export/Import - CSV import for bulk setup

Table Templates

Create templates for common configurations:

  • Standard 2-seater
  • Standard 4-seater
  • Bar stool (1-2 guests)
  • Large group table (8-10 guests)

Apply templates when adding new tables for consistency.

Capacity Management

Total Capacity

View venue capacity at a glance:

  • Total Tables - Number of tables
  • Total Covers - Maximum guests
  • Current Bookings - Seats reserved
  • Available Capacity - Remaining availability

Capacity Warnings

Set alerts for:

  • Over-capacity - Prevent overbooking
  • Under-utilization - Alert when capacity is low
  • Last-minute - Warn when few tables remain
  • Special Dates - High-demand period alerts

Link tables to floor plan positions:

  • Drag and drop on floor plan
  • Visual representation

Best Practices

Table Numbering

Use clear, logical numbering:

  • Sequential numbers (1, 2, 3...)
  • Area prefixes (M1, M2 for main room; T1, T2 for terrace)
  • Consistent format across venue
  • Easy for staff to remember

Capacity Settings

  • Set realistic capacities
  • Don't overstate table sizes
  • Consider comfortable spacing
  • Account for high chairs/baby seats
  • Plan for accessibility requirements

Regular Reviews

Review table configuration:

  • Monthly - Check for needed changes
  • Seasonally - Adjust for outdoor/indoor shifts

Flexibility

  • Allow some tables to be flexible (2-4 guests)
  • Have joining options for large parties
  • Keep some tables unassigned for walk-ins

Troubleshooting

Table Not Showing as Available

If a table isn't showing:

  • Check table status (must be "Available")
  • Verify time slot availability
  • Check booking area hours
  • Review any custom rules
  • Check for conflicting reservations

Cannot Modify Table

If you can't edit:

  • Table may have future bookings
  • Need admin permissions
  • Table might be locked for event
  • Contact support

Capacity Issues

If capacity calculations seem wrong:

  • Verify min/max settings on each table
  • Check for joined tables
  • Review offline reservations
  • Recalculate total capacity
